Show Information:

There is one show each semester (Fall and Spring), each with an afternoon and evening show.

1. Participation:
In order to participate in ANY act in a culture show, an individual must be a member of the BU India Club, as well as have attended a minimum of three (3) India Club meetings each semester. If there is a meeting after the show, this meeting will also count for attendance for that semester's show. Individuals who fail to meet these requirements will not be allowed to perform in the next semester's show. Individuals who cannot make it to the meetings with a valid excuse must speak with the E-Board for alternative options (i.e. help community service chair, cultural chair, or show coordinators).

2. Multiple Act Policy:
No member will be allowed to participate in more than two (2) acts in any show. The only exception to this is for the second semester spring show, in which ONLY seniors participating in a Senior Dance, as designated by the E- Board, will be allowed to participate in two acts in addition to the Senior Dance.

3. Dances/Skits:
Each group performing in a show is to submit a form designating at least one contact person, the music they are using, and a description of their dance or skit, by a deadline set forth by the E-Board. Once music is handed in for an act, it cannot be changed, nor redone, barring a decision from the E-Board and Show Coordinator(s), on a case by case basis. Scheduling practices is up to the individual acts and should not interfere with planned BU India Club meetings. Each act is required to perform at run-throughs(half act and full act), except for extenuating circumstances as designated by the E-Board.

4. Fashion show coordinator(s) are to submit two proposals, one with their names on it, and one without their names on it, indicating their intentions for their segments. It is up to the E-Board to choose coordinator(s) and their respective fashion show ideas based on the anonymous proposals. These coordinators must be paid members, and there will be a maximum of four coordinators of any one fashion show, fall and spring mutually exclusive.

5. Guest appearances will be limited to ONE per person, per show. No guest appearance can be longer than 30 seconds. If the appearance is longer than 30 seconds, then the person will be considered as officially part of the act.

6. Time Limits:
Fashion Show and skits, Dances and musical/instrumental performances will be limited to a maximum of six (6) minutes. Senior dances will be limited to a maximum of ten (10) minutes. Solo acts will be limited to a maximum of four (4) minutes. Any group wishing to have extra time will have to submit a written proposal to the E-Board. The E-Board and Show Coordinator(s) will then decide whether that extra time may be granted based on need, and ability to fit the time constraint of the show.

7. Song Conflicts:
If there is a conflict of song with two or more groups, where two or more groups are using thirty or more seconds of the same song such that it is noticeable, each of the group coordinator(s) will be notified. They will be given no more than two days to come to an agreement in which only one group will be performing the song in question. If no agreement is reached in those two days, each group will perform a minimum of thirty seconds of the song in question to a panel of the E-Board and Show Coordinator(s). If it happens that all E-Board members and Show Coordinator(s) are in these questioned acts, then a random panel of judges will be assembled. In either case, the panels will determine to the best of their ability which group is ready to perform that song, and consequently, which other group(s) must change that song.

8. Watch & Cuts:
A panel of arbitrary judges will determine, at a closed session of one-minute run-throughs, which acts are ready to perform, and which acts are not. All judging will take place in a point system. Every semester, the E-Board and Show Coordinator(s) will have chosen the maximum number of acts allowed to fit the 2-hour time constraint. The acts with the highest judges' scores will be chosen as acts for the show. Only those E-Board members and Show Coordinator(s) who are not in any act in the show will be allowed to sit in on that session of run-throughs. In the end, the E-Board and Show Coordinator(s) will review the selections, and either approve, or make minor changes to the selections, with consultation from the judges, basing their decisions on the overall appearances and presentation of the act.

9. Show Coordinators:
In order to take the position of show coordinator, members are required to fill out a Show Coordinator Selection Form, stating their interest in the show. The E-Board will choose the Show Coordinator(s) of the show based off these forms. There may be up to three Show Coordinators for each show, fall and spring mutually exclusive. The responsibilities of a Show Coordinator, in conjunction with the Events Coordinators, at a minimum, include:

i. Gather information for each act, including participant e-mail addresses and phone numbers, lighting information for each act as specified by the performance center, music, and act descriptions. This information shall be updated by the Show Coordinator(s) and be available upon request of the E-Board.

ii. Design the show programs with the E-Board.

iii. In conjunction with the Treasurer, solicit funds (i.e. advertisements, etc.) from outside retailers and restaurants for placement in the program. Any advertisements solicited will be put in the show program. The Show Coordinator(s) are to develop a form and a cover letter to bring to the retailers. The goal of these funds should be to cover the cost of producing the show programs.

iv. Organize run-throughs, and stay for the duration of them - set up guidelines prior to each run-through and notify each act of what is expected of them, and by when.

v. Assist in the selection process of the Master(s) of Ceremonies of the show. This is based on a pre-determined criterion list.

vi. Coordinate, or find someone to coordinate lighting technicians and sound technicians for the entire program. This position is also known as a stage manager or backstage crew.

vii. Organize ticket sales in the designated place of sale and schedule a Show Coordinator and/or E-Board member to be there at all times. Tickets cannot be reserved for any person; they must be paid for at the time of purchase. The E-Board will determine the price of the tickets.

viii. Any items of discrepancy or uncertainty shall be discussed with the E-Board to finalize a decision.

ix. Any violation of any of the rules is subject to revision and penalty based on the opinion of the E-Board at the time.

10. Fashion Show Coordinator(s):
In order to take the position of fashion show coordinator(s), members are required to fill out a Fashion Show Coordinator Form, stating their interest in the show. The E-Board will choose the Fashion Show Coordinator(s) based off of these forms. There may be up to three Fashion Show Coordinators for each show, fall and spring mutually exclusive. The responsibilities of a Fashion Show Coordinator, in conjunction with the Events Coordinators, at a minimum, include:

i. Coordinate a theme with music for the segment. Any and all props necessary must receive approval from E-Board.

ii. Hold tryouts for and select participants.

iii. Select outfits for participants to match theme, either through an outside clothing provider or through the participants themselves.
